Change status from Visitor to New Member

Action: All collected Visitors Cards are captured on the system. All visitors information will be saved into a Visitor Database available on both DiscipleSoft and Visitor Follow App.

Tools: Visitors Follow App or DiscipleSoft

People Involved: Visitor Information Collection Team

Comment: As much as possible Visitors Cards should be captured on the same day they are collected. Because of Visitor Follow App it should be easier to ensure all cards are captured on the same day.

Automated Messaging: 2 Messages are sent as follows;

Message 1: Thank you for visiting message sent to the visitor (SMS and Email)

Good day Ms Huggins, we would like to thank you for visiting Shooters Hill Community Church, it was a great pleasure having you worship with us. Mrs Rebecca Stevens has been especially assigned to help you with any questions about our church. She will be in touch with you soon.

Message 2: Notification is sent to designated follow up person with the name of the visitor and date of visit 

Good day Mrs Stevens, Mary Huggins visited us on Sunday 23 June 2019. You have been assigned by Mr Moyo to follow-up. Get more information on her from DiscipleSoft and please remember to document all your interactions.

First Phone Call

Action: Designated follow-up person makes a phone call to the visitor.

Tools: Visitor Follow App.

NB: All phone calls should be made using the call function in the app, not directly from the phone. This will facilitate the login of the call into the activity feed of the visitor for future reference.

People Involved: First Time Visitor and Designated Follow-Up Person

Comment: The purpose of the call is to begin a relationship building process by thanking the visitor and introducing themselves as the person assigned to help the visitor if there are any questions.

Calling Script: We encourage your church to have a standard script that can be use for this first phone call.
